Creating a solid agency sales system starts with using the right tools the right way.
We had a lot of agency owners and salespeople reach out and ask what we recommend using to help build a rock-solid agency sales system.
So without further ado, let’s get into it.
The Agency Sales Tool Stack
Let’s start with the “hub” of the sales stack. Yes, that was a bad pun because… I’m talking about the HubSpot CRM. Cue the slow clap…
HubSpot CRM — I am not going to write all about how the HubSpot CRM is the best CRM out there. Because frankly in a lot of ways it probably isn’t. However, there are two major things it has going for it. First, we use HubSpot for marketing, so it just makes sense. Second, it’s free, sort of…
The bottom line is that you need to pick your CRM and use it. If you don’t have one yet and are just getting started, HubSpot CRM is a perfect solution. If you run a 50-100 person agency with a team of salespeople, you might be better off looking at something like Salesforce.
HubSpot Sales — Formerly know as “Sidekick”, HubSpot Sales is a must, especially if you are using the HubSpot CRM. This is why I say the HubSpot CRM is “sort of” free. If you are using the HS CRM, you are going to want to be using HS Sales Professional. At the time of writing this post that will set you back $50 per user per month, but trust me it’s worth it.

TL;DR:
- Easy meeting scheduling
- Create email templates with virtually no limit
- Awesome Gmail integration
- Share documents and see who reviewed them
- Call and record from right inside the CRM
Name2Email — The best way I have found to find email addresses quickly. Couple this with the HS Sales Gmail integration and it works like a charm. Saves a lot of time if you are prospecting cold leads.
Acuity Scheduling — If you are not using HS Sales (or even if you are), this is a great alternative to the “meetings” tool. Acuity allows you to make prospect meeting scheduling a breeze. If you are wondering how to set up Acuity for your agency, this article will be very helpful. For a full breakdown of how to customize Acuity for your agency checks out this article. Disclaimer: the Acuity link is an affiliate link, so thanks in advance :).
ROI Calculator — A great tool for demonstrating tangible value to clients. The question everyone wants to know before hiring an agency is, “What can this do for us?” The inbound revenue calculator is designed to help prospects see actual numbers that they can expect as a result of partnering with your agency. Here is a live example: zenpilot.com/inbound-revenue-calculator.
Proposify — A solid piece of proposal software to help you make some slick-looking proposals.
And there you have it! That is a great place to start for your agency. If you have any questions or additional tools you would like to suggest, please share with us below!
